Dear OSMA Member,

As your Speakers of the OSMA House of Delegates, we are contacting you to provide important updates regarding the upcoming 118th Annual Meeting, scheduled for Saturday, April 13th. House of Delegates Session:

• Date:        Saturday, April 13th 
• Time:       8:30 a.m. Caucus Meetings at the OSMA Headquarters (313 NE 50th St., Oklahoma City)
10:00 a.m. House of Delegates at the OSMA Headquarters

 

After the morning session, we will break for lunch, followed by the voting session in the afternoon. Please plan accordingly for the timing of the vote after lunch.

In accordance with the rules previously established by the Speakers, we would like to bring your attention to the following key specifics:

  1. Credentialing Deadline: Members have until 5:00 PM (CDT) on Thursday, April 11th, to complete their credentialing for the meeting. After that time, no new Delegates will be credentialed. Should a medical or family emergency arise that prevents a credentialed Delegate from attending, the affected caucus may petition the Speakers to credential a new Delegate as a replacement. This must occur before the opening of the House at 10:00 am on Saturday, April 13th. No other changes to the list of credentialed Delegates will be allowed after the April 11th deadline.

  2. Voting Procedures: All voting will be conducted in person during the Annual Meeting.

  3. Virtual Participation: Members unable to attend in person will not be able to testify or vote but will be able to watch a livestream of the House proceedings.

Virtual attendees are encouraged to leave comments on our OSMA Member Forum* or to communicate directly with their caucus leadership.

It is the responsibility of each caucus to ensure that all their Delegates are credentialed before the Thursday, April 11th, 5:00 PM deadline.

The Annual Meeting is open to all OSMA members. However, you must be credentialed as a delegate and attend in-person to be able to vote. The meeting will be streamed via Zoom to non-voting members.

Those interested in helping decide the future of the medical association should consider becoming a delegate. Contact your county society or section representatives to learn more about how you can become a delegate.

Please note: Delegate slots are allocated according to county society/section rules and bylaws. All delegates must also register for the OSMA Annual Meeting at my.okmed.org/AM2024 and be able to attend the event in person on April 13. In addition to voting at the in-person meeting, delegates must be available to participate in the discussions and be a part of our association's decision-making process.

HOUSE OF DELEGATES HANDBOOKS
Delegates selected by their county/sections will receive emailed links to the House of Delegates handbook the week of March 24.

CREDENTIALING/VOTING
Only credentialed in-person delegates will be seated as members of the House and allowed to vote. In order for staff to prepare for voting on Saturday, all delegates must register through the website by Thursday, April 11, at 5:00 p.m. at my.okmed.org/AM2024. Voting for all OSMA general officers, AMA delegates and alternate delegates, OSMA Health Board and Board of Trustees positions will be held during the morning session. If necessary, runoff elections will be held as soon as staff can prepare new ballots.

Delegates unable to attend should notify the OSMA or their county medical society/section by Friday, March 29.

RESOLUTION DUE DATES:
• Regular (March 14): On time and presented before the House of Delegates.
• Late (March 15-April 5): Requires a simple majority vote of the Board of Trustees to be presented to the House of Delegates for consideration.
• Emergency (April 6-13): Requires a simple majority vote of the House of Delegates to be considered.

OSMA RECEPTION, INAUGURAL AND AWARDS CEREMONY
The Inaugural is scheduled for 6:00 p.m., Friday, April 12, at the Renaissance Waterford Hotel in Oklahoma City. Edgar Boyd, MD, will be inaugurated as the 118th President of the Oklahoma State Medical Association. Additional information will be provided at a later date.

As your Speakers and fellow physicians, we recognize that your time is valuable and appreciate all of those who are involved in shaping OSMA policy as a member of the House of Delegates. And for those who are not able to participate at the in-person meeting, we encourage you to please view the proposed bylaws changes and add your comments to the OSMA Member Forum*.
